The completed project gives Washburn a standardized, resilient, and centrally managed technology environment—from the data center to each user’s print destination.

A modernization project built for daily operations

Technology projects are successful when the finished system becomes easier to operate, easier to support, and less disruptive to the people who depend on it. That was the goal of Datalab Systems’ long-term infrastructure modernization project at Washburn.

Over the course of the engagement, Datalab Systems replaced a fragmented environment with a coordinated platform built around Linux Mint workstations, a Proxmox virtualization cluster backed by Ceph storage, automated deployment through Ansible and Semaphore, and centralized print routing integrated directly with Odoo.

The project is now complete. Washburn has moved beyond a collection of individually maintained computers and servers to an environment that can be managed consistently as a whole.

The challenge: too many moving parts

In a busy organization, infrastructure is rarely limited to servers. Employees depend on desktop systems, line-of-business applications, printers, user permissions, shared services, and reliable access to information. When each component is configured separately, routine changes take longer and inconsistencies begin to accumulate.

Washburn needed a foundation that could support day-to-day operations without requiring repetitive manual work every time a workstation was deployed, an application changed, or a user needed a different printing workflow.

The answer was not a single product. It was a carefully designed operating model in which each layer works with the others.

A standardized Linux Mint environment

Datalab Systems standardized Washburn’s workstation environment on Linux Mint. The move created a consistent desktop platform that can be maintained centrally instead of treating every computer as a separate project.

Standardization improves more than the operating system itself. It creates a predictable baseline for applications, security settings, updates, printer configuration, and support. When a new terminal is needed or an existing system must be repaired, the same proven configuration can be applied again.

Central visibility through the Mint terminal dashboard

Datalab Systems also developed a centralized Linux Mint terminal dashboard that gives Washburn’s administrators a clear view of the environment from one place. The dashboard reports the health and status of each terminal, including system availability, resource usage, storage capacity, pending updates, uptime, backup status, and security-scan results. Approved maintenance actions can be initiated centrally, allowing the support team to identify problems earlier and respond without manually visiting every workstation.

Compared with Washburn’s previous Windows environment, the completed platform provides a stronger and more controlled security posture. This improvement comes from a standardized Linux configuration, centralized updates and monitoring, restricted administrative access, automated security checks, and fewer unapproved applications running on individual systems. Consistent deployment through Ansible further reduces configuration drift, while remote administration and outside access are limited to controlled, encrypted connections. No operating system removes every risk, but this centrally managed approach significantly reduces the exposure and inconsistency that existed when Windows computers were maintained individually.

Resilient infrastructure with Proxmox and Ceph

Washburn’s server workloads and containers were consolidated onto a Proxmox cluster using Ceph-backed storage. This architecture places critical services on a shared, clustered foundation rather than tying them to one standalone physical server.

For Washburn, that means infrastructure is organized, easier to manage, and better prepared for maintenance or hardware changes. Virtual machines and containers can be administered from a unified platform, while Ceph distributes storage across the cluster to support resilience and availability.

Just as importantly, the platform provides a clean foundation for future growth. New services can be introduced as managed workloads without recreating the physical server sprawl the project was designed to eliminate.

Painless deployment through automation

A standardized environment reaches its full value only when it can be deployed and maintained consistently. Datalab Systems paired Ansible with Semaphore to turn Washburn’s technical procedures into controlled, repeatable automation.

Instead of configuring each machine manually, approved deployment and maintenance tasks can be launched from a centralized interface. The same instructions are applied every time, reducing variation and making routine work faster and easier to verify.

The automation layer now supports a more dependable operating model:

  • New systems can receive the approved configuration consistently.

  • Software and settings can be deployed across multiple computers from one place.

  • Routine maintenance can be repeated without rebuilding the process each time.

  • Administrators have a clearer view of what was deployed and where.

Odoo-driven print routing by user

Printing was treated as part of the business workflow—not as a collection of isolated printer settings. Datalab Systems connected Odoo to a centralized print server and developed routing rules that determine where documents should print for each user.

The appropriate print destinations are controlled through the user’s profile. When Odoo generates a document, the print server routes it according to the employee’s assigned workflow. This makes printing behavior centrally manageable and aligned with the way each department operates.

If a user changes roles, moves to another area, or needs a different route, the adjustment can be made centrally without visiting the workstation and rebuilding local printer settings. The result is a simpler experience for employees and a more controlled process for administrators.

One platform from the data center to the user

The strength of the completed Washburn project is the way its components work together. Linux Mint provides a consistent user environment. Proxmox and Ceph provide the clustered infrastructure underneath it. Ansible and Semaphore make deployment repeatable. Odoo and the print server connect business activity to the correct physical output.

Together, these layers create a single managed platform rather than four unrelated technical projects.

The completed result

Washburn now operates on a modernized foundation designed around consistency, resilience, and practical support. The finished environment provides:

  • A standardized Linux Mint desktop environment.

  • Centralized virtual machines and containers on Proxmox.

  • Clustered Ceph storage supporting infrastructure resilience.

  • Repeatable deployments and maintenance through Ansible and Semaphore.

  • Centralized Odoo print routing based on each user’s profile.

  • A cleaner path for support, expansion, and future improvements.

Most importantly, the system was built around Washburn’s real operations. Employees can focus on their work while the technology behind them is easier to deploy, control, and support.

Modernization is more than replacing technology

Replacing an operating system or installing a virtualization server does not automatically create a modern infrastructure. Lasting improvement comes from connecting the pieces: standardizing endpoints, consolidating services, automating repeatable work, and integrating business applications with the physical processes employees use every day.
